Turn your team's know-how into a Team Bot, the way Data Bot does
Data Bot is a Team Bot that SpaceXSI's data scientists built so anyone at the company can ask it a data question, according to a Nov. 2 post on x.ai. The idea works for any group that keeps fielding the same requests, whether that's HR, sales operations or IT. Here's how to set one up along the same lines.
1. Start with the questions. Write down the five requests your team gets most. Those become the Bot's first lessons.
2. Write each answer as a skill. For every question, spell out how your team handles it: where the numbers live, which steps you follow and what mistakes to watch for. The data team did this for metrics, experiments, charts and dashboards, and data engineering, per the post. Add the skills to a Team Bot so everyone draws on the same instructions. Fix a skill once and every user gets the fix.
3. Put it where people already ask. Add the Team Bot to the Slack channel where those questions land. Teammates can then ask it in the thread instead of tagging a person.
4. Give it a standing job. Pick one number your team reports every week and ask the Bot to post it to the channel on a schedule. Data Bot does this for some teams, the post says, and people ask follow-up questions right in the conversation.
5. Keep a person in charge of what it learns. The data team reviews what Data Bot wants to remember and approves or rejects it before it's shared with everyone, the post says. Build the same habit: ask your Team Bot now and then what it has saved, and correct anything wrong or private.
The data team still takes the hardest questions itself. The Bot clears the routine ones so the experts have time for the rest.
