Multi-project ops: one channel, one roster, one board

Advanced · How-to · Advanced hub

When you juggle more than one project, separate 1:1 Bot chats get noisy. A workable pattern is: one project equals one channel, one roster, and one board.

This expands an experimental pattern published in the Grok Bot Guides: each project gets a channel and an entry in a project tracker (the guide uses Notion). Pair it with the usual rule from the Bots docs: give each Bot a clear job.

The shape

Staffing rules that keep the roster small

How you work it

  1. 1. Scope tasks with the roster in the channel.
  2. 2. Let the PM keep the tracker current while specialists claim work.
  3. 3. Watch for Blocked. That column is your interrupt: answer, unblock, move on.
  4. 4. Keep external sends, purchases, publishes, and production changes behind approval.

What you get

You get the same shape humans use: a board, a manager, specialists, a blocked column, and a channel. Signal stays per project. It does not dump every Bot into one noisy inbox.

Start with one live project. Prove the Blocked-then-ping habit before you clone the pattern across the whole company.
