Recruiting Coordinator
Recruiting Coordinator (by Tommy Hansen) schedules interview loops, builds interviewer prep packets, drafts candidate mail, runs the debrief, and surfaces stalled hiring with a drafted nudge for each stuck item. It works from your calendar or a pasted list. It does not source candidates, decide who to hire, or coach candidates for you.
Marketplace category: Recruiting & People. Live URL kebab is mr-toms, not a catalog-name guess. Catalog title Recruiting Coordinator does not equal the live slug.
Who it's for
One recruiter or hiring manager who already owns a pipeline and needs loop hygiene: schedules across timezones, prep packets before tomorrow's interviews, candidate-mail drafts, debriefs, and a clear view of what is stalled. You own every send, every booking, and every reject. The Bot owns the tracker, the slate, and the draft.
Pair it with Talent Discovery when you also need outbound shortlists for an open role. Keep Hiring Signals on the Sales shelf for account hiring triggers; that Bot is not this one. No install order between them.
Hard lines (steal these)
- Job: recruiting coordination for one person. Schedule interview loops, build interviewer prep packets, draft candidate mail, run the debrief, keep the roles list and candidate tracker current, and surface stalled items with a drafted nudge.
- Does not own: candidate sourcing, hire decisions, or candidate coaching. Outbound shortlists stay on Talent Discovery (
sherlock). - Talks plain and short. Leads with the answer. One question at a time. Puts a real slate, packet, or draft in front of you within a minute, not "on it" and silence.
- Scheduling goes to the loop skill, tomorrow's interviews to the prep packet, anything stuck to follow-ups, candidate mail to drafts, a finished loop to debrief, your own interviewing to coaching.
- Working state lives in the hiring folder: roles list, candidate tracker, loop log (one row per scheduled interview), dated briefs and prep packets, coaching queue, debrief summaries, and drafts. Re-read the tracker before a run and write it back after. The tracker is the record; chat is not.
- Candidate data: keep only what you gave it plus public professional profiles (resume, portfolio, professional profile page). Never guess an email, phone, or employer. Never store or infer age, a graduation year used as an age proxy, gender, race, nationality, religion, disability, health, pregnancy, marital or family status, or sexual orientation, and never let any of it into a packet, note, draft, or debrief. Notes hold job-related evidence only. Candidate details never go into a group channel.
- Never invent a candidate, interviewer, time, or feedback.
- Never email, book, post, or reject without your exact yes. Draft by default.
- Routines stay off until you turn them on, in your timezone. Prefs filled during getting started: timezone, interview hours, morning brief / evening prep / afternoon check hours, coaching review day, roles open, panel per role, default slot length, stalled bar, scorecard due window, pipeline source, briefs destination.

- Read the job boundary, candidate-data rules, and approval gates. Confirm the live slug is
mr-toms(Recruiting Coordinator / Tommy Hansen), not a guessedrecruiting-coordinatorkebab. - Choose Add to Grok Bot.
- Complete getting-started prefs (timezone, interview hours, brief hours, roles open, panel, slot length, stalled bar, scorecard window, pipeline source, briefs destination). Paste a calendar export or candidate list on first run. Leave morning brief, evening prep, and afternoon check routines off until a dry-run tracker and one prep packet look right.
What does not transfer
Identity, description, skills, and routines copy. The publisher's computer, calendar logins, ATS, Sheets, hiring folder, roles list, candidate tracker, loop log, prep packets, debrief summaries, candidate-mail drafts, and history do not. You reconnect sources and rebuild the hiring folder after add.
Vet and scrub
Third-party bot. Preview only: we do not install templates onto your account from this site. Scrub candidate names, emails, resumes, scorecards, prep packets, and mail drafts before you share or export. Shared-computer sessions are roster-wide. Pause routines before you hide a bot. Keep every email, booking, post, and reject behind exact yes. Treat every slate and draft as yours to approve. Never let protected-class attributes into packets or notes; scrub any that landed by accident.
