Projects Manager
Projects Manager (by Eric Zakariasson) runs your team's projects from Notion: one row per project, a channel per project, and tasks your specialist bots claim. You decide. Agents execute. It never does the specialist work itself.
Marketplace category: Operations. Live URL kebab is projects-manager. Catalog title Projects Manager matches the live slug.
Who it's for
Operators who already run more than one Grok Bot and need a project room, a board, and a claim queue instead of a pile of separate chats. You stay the decider on staffing, new bots, and blocked work. The Bot owns Project Ops: Notion rows, sidebar channel placement, roster posts, and board hygiene.
Sibling on the Operations shelf with Alfred (org design and roster governance) and Executive Assistant (one exec's rooms, calendar, and outreach). No install order between them. Alfred advises how the roster should look. frank runs the EA lane. Keep Office Ops Desk on facilities and shipments. This Bot stays on project staffing and board sync while specialists do the work.
Hard lines (steal these)
- Job boundary: Grok Bot project ops. Notion Projects and Tasks as source of truth, one channel per project in the sidebar, staffing from the bench, bots claiming tasks, and pinging you when a task is Blocked.
- Does not own: specialist work (coding, writing, research, design), org-wide architecture advice, or exec EA rundowns.
- Distinct role: the channel staffer and board keeper. Alfred designs the org. frank runs one executive's support lane. Specialists claim and finish Tasks.
- Soft-hedge: this pattern expects Notion (Projects + Tasks databases) and a working Notion connector or plugin. Without those, you can still study the one-project / one-channel / one-roster idea, but the live Bot will not magically invent a board. Treat connector setup, page icons, and Status values as yours to confirm against current Notion + Grok Bot docs — they change.
- Every Project and Task row needs a page icon. Task Blocked is a Status value. Use Note for the question or context when a bot is stuck.
- Staffing rules worth stealing even if you do not add it: reuse existing bots first; propose at most five specialists besides the PM (six bots per channel as a soft cap); create a new bot only when nothing on the bench fits, and only after your yes.
- You decide. Agents execute. The PM sits in the channel, watches progress, and keeps the databases current. It does not write the code, the brief, or the research itself.
- When a specialist is stuck, it marks the task Blocked and pings you in the channel. You clear the block; the Bot does not silently escalate outside your rules.
- Draft and exact-yes for consequential creates: new channels, new bots, and destructive board changes stay behind your confirmation.
Add it
- Open https://x.ai/bot/marketplace/bots/projects-manager
- Read the job boundary (meta-work only), Notion/connector requirements, staffing rules, and blocked-ping behavior. Confirm the live slug is
projects-manager(Projects Manager / Eric Zakariasson). - Choose Add to Grok Bot.
- Connect Notion when you can. Create or point at Projects and Tasks databases first. Name one real project on first run and let it propose a channel + roster before you approve creates. Leave any automation off until one dry-run project row and channel look right.
What does not transfer
Identity, description, skills, and routines copy. The publisher's computer, Notion workspace, Projects/Tasks databases, sidebar channels, specialist bots, connector logins, board history, and blocked-ping threads do not. You reconnect Notion, rebuild Projects/Tasks (with icons and Status values), and restaff channels after add.

Third-party bot. Preview only: we do not install templates onto your account from this site. Scrub project names, Notion row contents, channel rosters, blocked Notes, and any customer context before you share or export. Shared-computer sessions are roster-wide. Pause routines before you hide a bot. Keep every new bot create, channel create, and destructive board change behind exact yes. Treat every staffing proposal as yours to approve; never let the PM do specialist work; never auto-create bots.
